DealerAutomation is a web application operated by Ac AutoFlow Inc. that helps Canadian independent and growing car dealers publish inventory to their website and key marketplaces. This Privacy Policy explains how we handle information when you explore our marketing site, create a DealerAutomation account, or use the platform to manage inventory.
This policy covers information about:
- Visitors requesting demos or contacting our team
- Dealership staff who log in to the DealerAutomation dashboard
- Inventory data, media, and documents uploaded for publishing
2. Information we collect
Account & Contact
- Dealership name, business address, and plan selection
- User names, work emails, roles, and authentication details
- Conversations with sales, onboarding, or support
Inventory Content
- VIN, make, model, mileage, pricing, and descriptions
- Photos, videos, and supporting documents like CARFAX reports
- Status history, publishing events, and error messages
Usage & Device Data
- Pages viewed, filters used, and workflow completion data
- Diagnostics such as IP addresses, browser type, and device identifiers
- Error logs that help us troubleshoot reliability issues
3. How we use information
- Delivering the core DealerAutomation features you subscribe to
- Providing onboarding, training, and ongoing customer support
- Monitoring performance, security, and adoption of new releases
- Sending product updates, maintenance notices, and plan information
- Meeting legal, accounting, and regulatory obligations in Canada
4. Sharing information
We share information only when it is required to deliver DealerAutomation or comply with the law.
- Publishing partners. Inventory content is sent to the marketplaces you connect, such as your dealer website, Kijiji Autos, AutoTrader.ca, CarGurus, Carpages.ca, or LesPAC.
- Service providers. Trusted vendors supplying hosting, analytics, email, support, or billing tools receive only the data needed to perform their service under confidentiality agreements.
- Legal requests. We may disclose information if required by applicable law, regulation, legal process, or government request.
We do not sell dealership or shopper information to advertising networks or data brokers.
5. Data retention
We retain account information for as long as your dealership remains a customer. Inventory records, publishing runs, and reports stay available while your subscription is active so you can meet audit or compliance requirements. When an account is closed we start a 90-day retention window to let you export data before deleting or anonymizing it unless a longer retention period is legally required.
6. Security
- Encryption in transit and at rest within reputable Canadian or North American data centres
- Role-based permissions, activity history, and status badges to prevent unauthorized publishing
- Review of integrations, API permissions, and third-party vendors
- Internal access controls, background checks, and security awareness training for staff
No method of transmission or storage is completely secure. We encourage dealers to maintain strong passwords, enable multi-factor authentication where available, and limit access to authorized staff.
7. Your rights
DealerAutomation complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
- Access, correct, or delete dealership profile information stored in your account
- Export inventory data and publishing reports directly from the platform
- Withdraw consent for marketing emails by using the unsubscribe links
- Request details about our service providers or security practices

8. International transfers
DealerAutomation primarily stores data in Canada. When we rely on service providers based in the United States or other jurisdictions, we ensure contractual safeguards and comparable protections for any cross-border transfer.

DealerAutomation is intended for dealership teams and is not directed to individuals under 18 years old. We do not knowingly collect personal information from children.
10. Changes to this policy
We may update this Privacy Policy as we launch new features, respond to legal requirements, or incorporate dealer feedback. We will post the revised version on this page and update the effective date. If changes are material we will notify account owners directly.
